Link’s client is a well-established, mid-sized law firm based in Kilkenny, seeking an experienced and highly organised Legal Secretary to join their team. This is an office-based position supporting fee earners across the firm, providing high-quality administrative and secretarial support while ensuring the smooth day-to-day management of legal matters.

The successful candidate will have previous experience working within a legal environment and be confident using a legal case management system, managing files, preparing documents through digital dictation, and providing excellent client service.

The Role

• Provide comprehensive secretarial and administrative support to solicitors and fee earners.
• Produce accurate legal correspondence and documents using digital dictation.
• Open new client matters and ensure all onboarding procedures are completed in accordance with firm policies and regulatory requirements.
• Maintain and update the firm’s case management system, ensuring all records are accurate and up to date.
• Manage paper and electronic files, ensuring documents are correctly filed and easily accessible.
• Coordinate fee earners’ diaries, including arranging appointments, meetings and court dates where appropriate.
• Handle incoming telephone calls and client enquiries in a professional and courteous manner.
• Prepare, format and amend legal documents and correspondence.
• Monitor key dates and deadlines, ensuring appropriate action is taken.
• Assist with general office administration and provide support to colleagues as required.

The Candidate

• Previous experience as a Legal Secretary within a law firm.
• Experience using a legal case management system.
• Excellent digital dictation and audio typing skills with a high degree of accuracy.
• Experience opening new matters and managing client files.
• Strong diary management and organisational skills.
• Proficient in Microsoft Office, including Word, Outlook and Excel.
• Excellent written and verbal communication skills.
