Our client, a leading international financial services organisation operating at the heart of European capital markets, is seeking a Executive Assistant their Dublin team. Reporting directly to the CEO, this is an excellent opportunity for an EA to take on a varied role combining executive support, governance and business coordination responsibilities.

The successful candidate will work closely with senior management and key stakeholders, providing high-level business support while coordinating board and committee activities and ensuring effective governance processes. This is an excellent opportunity to join a progressive, international organisation where innovation, collaboration and the development of sustainable capital markets are at the heart of the business. Salary: €55k

Benefits: Pension (12%) Bonus (up to 15%), Full Healthcare, Dental, Learning & Development, International Working Environment, Career Development, Flexible Career Paths, WFH 1 day per week.

Total Package: up to €75k

The Role

Executive Assistant (80%)

  • Provide high-level support to the CEO and senior management on a range of business activities, including preparing agendas, presentations, reports and meeting materials.
  • Record meeting notes, monitor actions and ensure agreed follow-ups are progressed within appropriate timelines.
  • Manage calendar arrangements, travel planning and expense administration for the CEO.
  • Assist with the planning and delivery of key business initiatives, including student placement programmes
  • Coordinate charity partnerships and related activities.
  • Attend and support the coordination of internal and external business events and initiatives.

Company Secretary Duties : (20%)

  • Coordinate Board and Committee meetings, including agenda preparation, minute-taking and monitoring follow-up actions.
  • Coordinate the preparation and collation of Board reports, including the Business Report, CEO Report and Benchmark Administration Report.
  • Manage Companies Registration Office filings, including financial statements and director appointments and resignations
  • Participate in Group Company Secretary meetings and assist with the preparation and presentation of Group policies for local Board approval.
  • Support the effective administration of corporate governance processes and ensure key deadlines and requirements are met.

The Candidate

  • A minimum of 3 years’ experience in a similar company secretarial, executive support or business support role, ideally gained within financial services or another regulated environment.
  • Demonstrable discretion and integrity when dealing with confidential and sensitive information.
  • Exceptional organisational skills with a strong attention to detail and the ability to manage multiple priorities effectively.
  • Excellent written and verbal communication skills, with strong drafting capabilities.
  • Proven ability to build and maintain strong working relationships with senior management and external stakeholders.
  • A proactive approach with the ability to prioritise effectively and work to tight deadlines.
  • Strong problem-solving skills, creativity and adaptability when dealing with changing priorities.
  • Ability to work independently while also contributing effectively as part of an international and collaborative team.
  • A professional, commercially aware and client-focused approach.
