Link Personnel have exclusively retained to hire for a reputable and dynamic law firm known for providing expert legal services to a wide range of clients. We are seeking a proactive and efficient Facilities Administrator to join their team and support the smooth operation of their office facilities. The ideal candidate will be detail-oriented, adaptable to new technology, and have strong IT and systems skills to manage a variety of administrative and operational tasks within the firm.
Salary : to €35.5k

Meeting Room Management: Ensure meeting rooms are properly prepared, stocked, and maintained before client meetings or internal events. This includes ensuring the setup of appropriate equipment (e.g., projector, laptops) and arranging refreshments as required.
Archiving & Filing: Manage both internal and external archiving processes, ensuring that documents are securely stored, cataloged, and easily retrievable when required. Ensure compliance with legal and data protection requirements for document management.
Reception Relief: Provide backup support to the reception team during peak periods or staff absence. This includes greeting clients, answering phones, and managing incoming and outgoing mail.
DX Box Management: Oversee the firm’s DX box, ensuring that documents are collected, distributed, and dispatched accurately and on time.
Scanning & Document Management: Regular scanning of documents, ensuring electronic records are properly organized and accessible within the firm’s document management system.
Coordinating Layout & Office Setup: Work with internal teams to coordinate and adjust office layout and setups for various team needs, events, and guest visits.
Ad Hoc Bank Errands: Perform occasional bank errands, such as depositing cheques or handling other banking-related tasks as needed.
General Legal Administration: Provide general administrative support to the legal team, such as preparing documents, maintaining filing systems, managing databases, and handling various office tasks as required.
IT & Systems Proficiency: Strong experience with office systems and IT platforms, including document management, scanning equipment, and MS Office Suite. Ability to embrace and implement new technologies within office operations.
Attention to Detail: Exceptional organizational skills, with an ability to manage multiple tasks efficiently while maintaining high standards of accuracy and quality.
Adaptability: A proactive attitude and the ability to adapt to the changing needs of a fast-paced office environment.
Communication Skills: Strong written and verbal communication skills with the ability to work effectively with all levels of staff, clients, and external partners.
Experience in a Legal Environment (Desirable): Previous experience working in a law firm or professional services environment is advantageous but not essential.
